Creation and Termination of Colleague, Benefactor, and Informer Accounts
For Staff and Faculty

New employees
New Colleague, Benefactor, and Informer accounts will be created for new employees when their supervisor informs IT that they have a new employee who needs access and HR officially recognizes the individual as an employee by adding a current position to their records.  (Because Colleague, Benefactor, and Informer access allows an individual to see sensitive data, we cannot create accounts for individuals who do not have active positions.)  Please allow two business days from the time that we receive a supervisor request AND HR adds a position to the new employee’s record for us to create the account.  Login and temporary password information will be e-mailed to the supervisor and/or the new employee.

Current employees
If a current employee needs Informer, Colleague, or Benefactor access, only the supervisor’s request is necessary, given that person is already recognized by HR as an employee.   Again, login and temporary password information will be e-mailed to the supervisor and/or the employee.

Access level
Supervisors approve the level of access an employee will have.  For example, if Joan Smith leaves her position and Suzy Jones is hired to fill that position, the supervisor will request that a new account be created for Suzy with access to the same screens as Joan had.

Termination of accounts
Colleague, Benefactor, and Informer accounts are ended based on the HR termination date.  Account terminations will be processed on a weekly basis.  If account access needs to be terminated immediately, the ex-employee’s supervisor needs to contact IT directly.

Please contact the Help Desk at X3390 to request help with Colleague, Benefactor, or Informer problems or projects.  The Help Desk will relay the ticket quickly to the person who will be able to assist you.  Contacting the Help Desk allows us to help you in the quickest, most efficient way possible.
