Students who are not graduating must vacate their residence hall room 24 hours after their last exam or by 12:00 p.m. on Saturday, May 12, 2007 (whichever comes first). Please make travel arrangements accordingly.
Only graduating seniors and those individual students granted permission by the Office of Residence Life may stay on campus beyond May 12th.
Formal Checkouts
All students are encouraged to participate in the Formal Checkout process. Students using the Formal Checkout process must schedule an appointment with the RA 48 hours in advance. Checkout sign up sheets are located in your residence hall (see RA for details). The appointment should be scheduled at the time when the student is ready to leave the room (all items must be out of the room and the room must be clean). At the appointment time, the RA will meet the student in his/her room, collect keys, and do a preliminary inspection of the room using the Room Condition Report that was completed at the time of check-in. Failure to complete this preliminary inspection with an RA will forfeit the student’s right to appeal individual room damage charges. Final inspection of the room and any assessment of damages will be done by the RLC at a later time.
Formal Checkouts (North Village, PA Avenue, Garden Apartments)
Residents for the North Village, PA Avenue and Garden Apartments area are required to schedule an appointment 48 hours in advance with a resident assistant from the Independent Housing area. Checkout appointment sheets will be posted in Ensor Lounge near the Student Affairs entrance beginning Friday, May 4, 2007 for non-graduates and Sunday, May 13, 2007 for seniors.
Express Checkouts
When moving out of a residence hall room, students may choose the express checkout option. To utilize this option the student should contact the RA or RLC in his/her area for an express checkout envelope. Complete the information requested on the envelope, seal their keys within the envelope, and return the sealed envelope to the RLC Office or the Residence Life Office. All belongings must be out of the room and the room must be cleaned prior to departure or a charge may be assessed. The RLC inspects the room at a later date. Those who utilize the express checkout option forfeit their right to appeal individual room damage charges.
Break Extensions
For students who must travel a great distance home (for example, international students),
Permission to stay on campus past May 12, 2007 may be requested by completing a Break Extension Form and submitting it to your RLC no later than Friday, May 4, 2007. Late requests will NOT be considered.
Student Responsibility
Students are responsible for the condition of their rooms and common areas. For returning students, charges for damages, lost keys, and/or excessive cleaning will be billed to the student account. For graduating seniors, charges for damages, lost keys, and/or excessive cleaning will be deducted from the security deposit.
Dumpsters will be placed behind Smith House, ANW, Blanche, and between Rouzer and DMC from May 8th – 20th. All trash must be placed in the dumpsters located on campus. The removal of trash, furniture, and carpets left in hallways and/or common areas will be billed to the students living those areas. The removal of prohibited furniture from rooms or common areas is billed at $100 per loveseat / recliner / futon and $200 per couch. Bags of trash left in rooms or common areas are billed at $40 per bag for removal. If prohibited furniture is found in or discovered being removed, you will be charged accordingly. These charges will be billed directly to the responsible student(s) or if that cannot be determined, the charges will be added to the common area damages for the area where the items were left. Graduating seniors should plan ahead to utilize dumpsters for large items, as the dumpsters will be removed on Sunday, May 20, 2007.
Garden Apt, N. Village and House Residents
Preparing an apartment or house for checkout includes thoroughly cleaning the living room, bathroom, and kitchen appliances. Prior to conducting the formal checkout, RAs will do a preliminary inspection of the common areas and require students to complete any necessary cleaning.
**Although the Garden Apartments will be off-line for the 2007 – 2008 Academic year, residents are still required to properly prepare their apartments for checkout**
Room Damages
Room damages are assessed by comparing the condition of a room at checkout with the room condition at check-in. When each resident moved into her/his room, he/she received a Room Condition Report (RCR) indicating the present condition of the room. Any pre-existing damages and/or missing items were listed on this report.
Once a resident has vacated his/her room, the RLC will use the RCR form to determine billable damages. Room damage charges are based on any discrepancies (beyond normal wear and tear) that are listed on the Room Condition Report that were not listed at check-in. Excessive room damage may result in disciplinary action and/or termination of a student’s housing contract. RAs do not determine billable damages; they inventory the rooms and do a preliminary inspection.
Keys
Keys may not be left in a student’s room for any reason. Keys must be handed to the RA during the checkout appointment. Failure to turn in keys to an RA will result in a $45 charge to replace the room lock and a $5 per key charge to replace any needed keys. Students who do not follow through with the appropriate checkout procedures waive their right to appeal any room damage charges and will be charged a $100.00 improper check out fee.
Common Damages
McDaniel College expects resident students to take responsibility for damages done to public areas in their living space. “Like most other colleges, the College does not raise room rental for all students to pay for damages, but assesses those members of a living area (floor, suite, wing, house, apartment, or hall) when the responsible individuals cannot be determined. It is the responsibility of all residents to exercise their influence in the student community to prevent damage or require responsible individuals to pay.” (Student Handbook 2006-2007, pp. 47)
Closing Checklist
- 1. Remove all personal belongings from your room. Anything left behind will be discarded and the responsible student will be billed for the removal.
- 2. All personal furniture must be removed from your room. Personal furniture must be discarded in the dumpsters. Please see prohibited furniture costs under “Student Responsibility.”
- 3. College furniture in room should be put back the way in which it was found. All furniture should be placed back on the floor of the room. Student’s will be billed the full cost of any missing College furniture in the room.
- 4. Dispose of perishable trash. Your room should be clean, neat and ready for the next occupant. Garbage must be bagged and taken to the dumpsters. Garbage bags are available from your RLC or RA. Trash left in rooms and/or hallways/common areas will be billed at $40 per bag.
- 5. Sweep or vacuum rooms. Brooms, dustpans and vacuums are available from your RLC or RA. Rooms not swept and/or vacuumed may be subject to a cleaning charge.
Apartment and House residents should thoroughly clean all common areas, including living rooms, kitchen appliances and bathrooms.
- 6. College phone must be present and working. Prior to departure phone should be placed on DND.
- 7. Empty and clean the microfridge. You may be billed for any dirty or damaged microfridges as well as any missing parts.
- 8. Schedule an appointment with the RA. Checkout appointments must be made 48 hours in advance with the RA. You should schedule the appointment for the time when everything will be out of your room and you will be ready to turn in your keys. DO NOT LEAVE KEYS IN YOUR ROOM.
